Terms & Conditions

1. Medical Information

Parents/carers must provide accurate and up-to-date information regarding:

  • Medical conditions
  • Allergies
  • Dietary requirements
  • Medication
  • Additional needs
  • Emergency contact details

It is the parent's responsibility to notify Forest Tales immediately of any changes before the camp begins.

Children who take part in our fire lighting activity are offered a marshmallow to roast and eat around the campfire. Please inform us in advance if your child cannot eat marshmallows due to allergies, dietary requirements or personal preference.

Failure to provide important medical or behavioural information may result in your child being unable to attend or being collected early if we are unable to safely meet their needs.

2. Medication

If your child requires medication during the day (including inhalers, EpiPens or other prescribed medication), this must be clearly labelled with your child's name and handed directly to a member of staff at drop-off.

Parents/carers are responsible for ensuring all medication is in date and for completing any required consent forms before camp.

3. Toileting

Children attending Forest Tales Holiday Camp should be toilet independent.

If your child has additional needs relating to toileting, please contact us before booking so we can discuss whether we are able to meet their needs safely and appropriately.

4. Behaviour

We want every child to have a safe and enjoyable experience.

Children are expected to:

  • Be respectful to staff, other children and the natural environment.
  • Follow safety instructions at all times.
  • Use tools and equipment responsibly.
  • Stay within designated boundaries.

If a child's behaviour places themselves, another child, or a member of staff at risk, or seriously disrupts the camp, we reserve the right to ask parents/carers to collect them early. No refund or credit will be given in these circumstances.

5. Clothing

Forest Tales operates outdoors in almost all weather conditions.

Children should arrive wearing weather-appropriate outdoor clothing that can get muddy.

Please ensure all clothing and belongings are clearly named.

6. Weather

Forest Tales believes children benefit from experiencing nature in all seasons, and camp will continue in rain, cold and muddy conditions.

Fortunately, our woodland setting is naturally shaded by mature trees, making the camp much cooler than the surrounding park during hot weather.

In the event of severe weather (such as high winds, thunderstorms or other conditions that make the site unsafe), Forest Tales may cancel the session. Where possible, parents will be offered an alternative date, credit or refund.

7. Collection

Parents/carers must collect children promptly at the published finish time:

  • 1:00pm for 4-year-olds
  • 3:00pm for children aged 5+

Late collections may incur a charge of £10 for every 15 minutes (or part thereof) unless agreed in advance.

Only authorised adults listed on the booking form may collect a child.

8. Food & Drinks

Children should bring:

  • A packed lunch
  • A water bottle
  • Healthy snacks

Please do not send products containing nuts due to allergies.

9. Risk Activities

Forest Tales follows the recognised Forest School approach.

Children may participate in activities including:

  • Fire lighting
  • Using tools with supervision
  • Den building
  • Zip line
  • Woodland exploration
  • Nature crafts

These activities are fully risk assessed and supervised by qualified staff. By booking a place, parents/carers acknowledge that outdoor activities involve an element of managed risk.

10. Accidents & First Aid

Qualified First Aiders are present at every session.

Parents/carers authorise staff to administer emergency first aid where necessary and to seek emergency medical treatment should it be required.

Parents/carers will be informed of any significant accidents or injuries.

11. Photography

Photographs may occasionally be taken during camp for promotional purposes.

Images will only be used where consent has been given during the booking process.

12. Personal Belongings

Please do not send valuable items, electronic devices or toys.

Forest Tales cannot accept responsibility for lost, stolen or damaged belongings.

13. Cancellation Policy

More than 14 days before your booking

  • You may choose either a refund minus a 5% booking/administration fee, or 100% credit towards another Forest Tales Holiday Camp session.

5–13 days before your booking

  • We are unable to offer refunds.
  • We will happily provide 100% credit towards another Forest Tales Holiday Camp session.

Less than 5 days before your booking

  • Unfortunately, no refunds or credits can be offered, as staffing and resources have already been arranged.

14. Forest Tales Cancellation

If Forest Tales has to cancel a session due to severe weather, staff illness, insufficient staffing or circumstances beyond our control, we will offer an alternative date, a full credit or a full refund.

15. Liability

Whilst every reasonable precaution is taken to ensure the safety and wellbeing of children attending Forest Tales, participation in outdoor activities involves an element of managed risk.

Forest Tales accepts liability only where loss or injury results directly from our negligence. We cannot accept responsibility for personal belongings brought to camp or for circumstances outside our reasonable control.

16. Agreement

By booking a place at Forest Tales Holiday Camp, parents/carers confirm that they:

  • Have read and understood these Terms & Conditions.
  • Have provided accurate medical and emergency contact information.
  • Have declared all relevant medical, behavioural and additional support needs.
  • Consent to their child taking part in supervised Forest School activities, including the supervised use of tools and campfires.
  • Understand that Forest Tales operates outdoors in almost all weather conditions.
  • Agree to abide by these Terms & Conditions and Cancellation Policy.
